Tools – Financial Interface

1. Overview |
The purpose of the Financial Interface is to complete the planning cycle by adding financial information to the planning information already held within Camms.Strategy® and thus enable financial reporting, as well as physical progress reporting, against actions.
It enables organisations to readily recognise the costs associated with achieving its desired goals and outcomes as expressed in its strategic and corporate plans.
The financial data held in your financial system is matched to Business Plan actions defined within cammsstrategy®. This is achieved through a process of matching each financial account/(s) with the appropriate action in cammsstrategy.
From the SYCLE Header click on the Wrench menu and navigate to Financial Interface section.
2. Import Account Data |
STEP 1: Go to Tools > Financial Interface > Import Account Data.
STEP 2: Select the 'Reporting Year' and click Choose File.
A pop-up window will be displayed from where you can select the document that needs to be uploaded.
Note: When importing data for the first time, the data grid below the input area does not appear.
It will only appear once the initial year is imported and thereafter appear for each year as data is imported and mapped.
STEP 3: Enter a name for the worksheet and select a type from 'Import Type' list.
Note: To replicate the previous year's budget related information into the current period, click the Replicate from previous year button prior to saving.
STEP 4: Click on the save icon at the top-right corner to upload the file.
Camms.Strategy® will then read and check the data in the file. If successful a message will be displayed or else, an error message will be displayed.
In addition to the message, the data grid will appear and it will contain a summary of the data imported from the spreadsheet. This can be checked to ensure that all financial data has been imported.
3. Map Account to Service Profile |
This section is designed to reduce the list of Actions on the Account Mapping page to only Actions and Accounts that are relevant to that Service.
Go to Tools > Financial Interface > Map Accounts to Service Profiles.
On the left-hand side of the screen the defined organisation structure will appear as a ‘tree’ structure, with each of the Business Units shown.
On the right-hand side of the screen the imported accounts structure will appear also as a ‘tree’ structure as defined from the imported spreadsheet working firstly from the Business Unit column, Services column and then the Actions Column.
Open up the Tree Structure on both sides of the screen. This is done by clicking on the + boxes on either side of the screen.
The defined organisation structure expands with the lowest level being the services defined as being delivered by each of the Business Units.
The Accounts structure expands through the accounts tree created from the import spreadsheet.
Map the relevant account structure service with the relevant cammsstrategy® service by dragging and dropping the services one by one.
Drag and drop the relevant service on the left-hand side.
When services have been linked, the highlighted service level turns green indicating that on the right-hand side one or more financial services have been linked to the organisation's service and on the left-hand side, that the financial service has been mapped to the system.
Repeat mapping until all ‘circles’ on the left-hand side are green indicating that all services have been mapped.
The linkages can be displayed in the center of the screen by clicking on the required service in the Organisation Structure on the left-hand side.
If a service has been incorrectly linked, then that linkage can be deleted and the service remapped.
4. Map Accounts to Actions |
STEP 1: Go to Tools > Financial Interface > Map Accounts to Actions.
STEP 2: Select the financial year.
On the right-hand side of the screen, the mapped accounts from the previous section (i.e. Mapping Accounts to Service Profiles) will appear.STEP 3: Expand and click on the account structure level (right side) which you wish to map with an action. It will also bring up the related service and the actions that relate to that service on the left.
The linking process is the same as before e.g. placing the cursor over the account that you wish to map until a line appears under the account and then dragging across to the relevant action on the left-hand side until a line appears and then dropping (releasing the cursor).
Accounts may be linked at any level.
However, if the lower level is selected, then all accounts at that lowest level within that group will need to be matched individually.
When an account is mapped, a Green button appears to indicate that mapping and on the left-hand side the Green button appears to indicate that at least one account has been mapped to the action.
Splitting the accounts
One Account can be mapped to one action or can be split over a number of actions.
Drag and drop the account to each of the actions required. Click on the account and it will appear in the center screen showing those actions to which the account has been linked.
The split between each action can then be determined. The split must add up to 100%.
Note: If you use CAMMS Financial Integration, then the account structure will be imported automatically. You are strongly advised to carry out the account mapping manually each year as only you will know what accounts have changed from last year to this year and what new accounts have come up.
5. Import to Camms.Strategy® |
Go to Tools > Financial Interface > Import to Camms.Strategy®
If all accounts have been mapped then the IMPORT TO CAMMSSTRATEGY® button will be activated.
Click the Import to Camms.Strategy® button.
If all accounts have not been mapped a list of all unmapped accounts will appear on the screen. These accounts must be successfully mapped before the process can continue.
Return to mapping accounts and when all accounts have been mapped, try to import the data again.
If you then return to the ‘IMPORT TO CAMMSSTRATEGY®’ from the Financial Interface menu bar you will be able to check that all financial data has been successfully imported.
Relevant Camms.Strategy® reports should be run to quality check to ensure that the correct information appears against the correct actions/(s).
If not, then the mapping process for the relevant actions needs to be repeated.
