How can I deactivate a project type that is no longer used?

You can now deactivate a project type and hide it from the application by following the steps below if you have the IPM Administrator user role assigned to you.

STEP 1: Navigate to the Project Settings page and click on the 'Project Types and Workflow Links' option from the left panel of the page.

STEP 2: Click on the Pencil icon next to the project type that you wish to deactivate.

STEP 3: De-select the 'Active' tick box and click on the Update button so that the change that you made is saved. Once the changes are saved, that particular project type will be hidden from all areas where you can create new projects.

For example, let us assume that the 'Project Risk Assessment' project type is no longer used to create projects in your environment. In that scenario, you will have to click on the Pencil icon next to that type, de-select the 'Active tick box(highlighted in red in the Figure below) and click on the 'Update' button to save your changes.

What happens when a project type is deactivated?

Once a project type is deactivated, that project type will be hidden from the following application areas;

  1. Project Creation pop-up which can be accessed via clicking on the ‘Add New Project’ icon in the left side navigation bar.

  2. Duplicate Project functionality accessed via clicking on the 'Add New Project' icon in the left navigation bar

    • The project list shown in the first step of the Duplicate Projects functionality will exclude all the projects that are linked to inactive project types.
       

    • The Project Type dropdown list in the second step of the Duplicate Projects functionality(shown in Figure 2 below) will also not show inactive project types.

3. Project Details object > ‘Project Type’ dropdown list

  • Once the user creates a new project via the Project Creation pop-up, and if the user wishes to update its type, the Project Type dropdown list will only show the active project types.

4. Reference object

  • Users can create new projects via the Reference object as mentioned below;

    • By clicking on the “Create New Child Project” button in the Child Projects tab

    • By clicking on the “Create New Parent Project” button in the Parent Projects tab(The Parent Projects tab is available in the Reference object when the internal setting called “Ability to link a project to multiple parent projects” is switched ON. Please contact Camms Support if you wish to activate this feature in your environment.)

  • The project types that are deactivated will not be shown in the Project Type dropdown list in the project creation pop-up window.

5. Project creation area in Action > Links tab in Camms.Strategy 

  • New projects can be created from the Links tab of an action/task in Camms.Strategy. The created project can then be linked to the action/task.

  • The project types that are deactivated will not be shown in the Project Type dropdown list in the project creation pop-up window.

6. Business Requirement Module > Create Project from Business Requirement

  • Once a business requirement is signed off, users can create a project from it using Create Project icon on the top toolbar.

  • Inactive project types will not be shown in the Project Type dropdown list in the project creation pop-up window.  

  • This is only applicable if this functionality has been activated for you by Camms. 

7. Project Type dropdown list in Administration> Projects area in Camms.Risk

  •  New projects can be created from the Projects area in the Administration area in Camms.Risk. The created project can then be linked to the risk. When the project module is activated, the Project Type dropdown list will be shown on project creation area as shown in Figure below. This dropdown will exclude inactive project types.

What happens if you open a project that is of a deactivated/inactive project type? 

If you open an existing project which is linked to an inactive project type, the Project Type dropdown list will still show the inactive project type in the below format.

For example, if the deactivated project type is 'Project Risk Assessment', and you open up a project which is linked to it, then the Project Type dropdown list will display the inactive project type as 'Project Risk Assessment(Inactive).

But, when you try to edit the project type of that project, the Project Type dropdown will not show deactivated project types (similar to how Staff dropdown lists work when staff are made inactive).

Additionally, when you open the Project Details object in an existing change request project linked to a deactivated project type, the Project Type dropdown will still show that value. But, when you try to edit it, the dropdown will not show deactivated project types (similar to how Staff dropdown lists work when staff are made inactive).

Will the projects that are of a deactivated project type be hidden from the application?

No, the projects which are linked to the deactivated project types will still be shown in the below areas in the system where projects are displayed.

  1. Project Register

  2. Project Hub

  3. Open Project

  4. Quick Update

  5. Resource Manager 

  6. Executive Explorer(Executive Dashboard, Project Budget View, Project Map, Project Portfolio View etc.) 

  7. Lessons Learned Register

The deactivated project types will be shown in the Project Type filters available in the areas mentioned above.

Will the projects that are of a deactivated project type be hidden from reports?

No, you will still be able to create reports on projects that are of deactivated project types.

The deactivated project types will be shown in the Project Type filters available in each of the Project filters in the reports mentioned below;

  • Project Selection

  • Budget Report

  • Project Traffic Light Report

  • Project Master Report[New]

  • Project Master Report

  • Project Proposal

  • Project Listing

  • Project Evaluation

  • Project Status Report

  • Project Progress

  • Project Tasks By Business Unit

  • Lessons Learned

  • Project Rollout Summary Report

The deactivated project types will still be displayed when creating reports using the Project Type field in the datasets below in Camms.Insights;

  • Project_ProjectDetails_STND

  • Project_ProjectRegister_STND

  • Project_QuickUpdate_STND
