Reports – Audit Reports

1. Overview

Access Audit reports via Menu > Reports > Audit Reports or via the left-hand navigation panel.

2. Audit Recommendation Report

The Audit Recommendation Report shows detailed information of audit, findings and recommendation of the organisation. 

To access this report, follow the steps below.

  • STEP 1: Go to Reports >Audit Reports.

  • STEP 2: Select 'Audit Recommendation Report'.

  • STEP 3: Select the relevant criteria and click the Preview button.

Fields: Date Implemented = Audit Recommendation Completion Date.

Note: This module will only be available to the clients who have purchased Audit.

3. Progress Status Report – Summary

This Report shows a summary of Open Audits i.e. where recommendations are not signed off. It includes Audit Number/Audit Title, Total number of open audits, Total Completed, Total not completed, No of recommendations, Complete, Not Complete. 

  • STEP 1: Go to Reports > Audit Reports.

  • STEP 2: Select the 'Progress Status Report-Summary'.

  • STEP 3: Select the relevant criteria and click the Preview button. 

4. Progress Status Report – Detail

This Report is similar to the summarised progress status report but displays more detail about each record.

  • STEP 1: Go to Reports > Audit reports.

  • STEP 2: Select the 'Progress Status Report-Detail'.

  • STEP 3: Select the relevant criteria and click the Preview button.

5. Summary Progress Report

This report shows a summary of audit progress including audit number (ascending order), finding number, recommendation number (ascending order), audit year, Sector, Company, Team (where activated), 1st/2nd/3rd agreed implementation date and Internal Audit Officer signoff date.

  • STEP 1: Go to Reports > Audit Management.

  • STEP 2: Select the 'Summary Progress Report'. 

  • STEP 3: Select the relevant criteria and click the Preview button. 

6. Administration System Changes Report

This report displays a summary of all changes made within the Audit Management area. This includes Audit No, Audit, User ID, and the action performed.

It can be filtered by Business Unit, Directorate and Team (where activated).

  • STEP 1: Go to Reports > Audit Management.

  • STEP 2: Select the 'Administration / System Changes Report'. Click the Preview button.

Audit Type

Dropdown allows selection of an Audit Type; OHS (external) or type GOV (internal). 'Show All' is selected by default.

Division

Dropdown allows selection of a Directorate (defined in Framework > Directorates). 'Show All' is selected by default.

Company

Dropdown allows selection of the Company.

Team

Dropdown allows selection of Teams (defined in Framework > Teams). If a Business Unit was selected above, the page refreshes and this filter only shows the Teams within that Business Unit. 'Show All' is selected by default.

Audit No

A number given to an audit record in order uniquely identify it. This number is automatically generated at the audit creation at Audit Management > Audit area. This numbering system is configured within Audit Settings > Numbering System.

Audit

Name of the conducted Audit. Stated at Audit creation at Audit Management > Audit area.

User

Username of the user who made the last changes (Create/Modify/Update) to the stated Audit record.

Action

Last change action made (i.e. Create, Modify, Delete) to the record.

Last Change

The time stamp of the last saved change done to the Audit.

7. Audit Compliance Report

This report allows the user to view statistics on audit recommendations and a summary of overdue and due recommendations.

  • Statistics on the total number of audit recommendations (for the selected period), number of audit recommendations completed on time, number of due audit recommendations and number of overdue audit recommendations.

  • Overdue audit recommendations – A table with information on overdue audit recommendations.

  • Due audit recommendations – A table with information on due audit recommendations.

The following filters will be available.

Date Select

Will allow the user to select the desired period to filter the Audit Recommendations. The Date Select contains a calendar which lets the user to select the ‘From’ date & the ‘To’ date.

By default,

‘From’ date = 1st date of the current Financial year.

‘To’ date = End date of the current Financial year.

Note:

When displaying Audit Recommendations, latest agreed implementation date must fall within the selected date range.

Audit

Displays a control which contains a tick box list of Audit numbers and a search box which allows the user to type a keyword and filter out the list content.

This lets the user to search for multiple Audit numbers at once.

Current Audit Status

  • Displays a dropdown which allows the user to filter the Active or Inactive Risks as follows:

  • Active – Filters out the Active audits. Default to ‘Active’.

  • Inactive – Filters out the Inactive audits.

  • Show All - Filters out both Active and Inactive audits.

Note: ‘Audit’ filter and the ‘Status’ filter will use the AND condition when displaying audits as follows:

i.e.

  • If an Audit is selected and the current audit  status is selected as Active, the report will only display data if the selected Audit is Active.

  • If an Audit is selected and the current audit  status is selected as Inactive, the report will only display data if the selected Audit is Inactive.

  • If an Audit is selected and the current audit  status is selected as ‘Show All’, the report will display audit data regardless whether the selected Audit is Active or Inactive.

Audit Category

Displays a check box list of Audit Categories of the Council.

 This lets the user search for multiple categories at once.

Responsible Officer (Recommendation)

Displays a control which contains a tick box list of Staff members and a search box which allows the user to type a keyword and filter out the list content.

This lets the user search for multiple Staff members at once.

This filter will filter out the Audits for which the selected staff members are assigned as Recommendation Responsible Officers.

Sector (Recommendation Responsible Officer)

 Displays a check box list of Sectors within the Council.

This lets the user search for multiple Sectors at once.

The filter will filter out the Audits according to the Sectors, the Recommendation Responsible Officer is linked with or belongs to.

Show Filter page

Displays the filter page when ticked. Un-ticked by default.
