1. Meeting Centre

1.1 View Meetings

The meeting centre is to view all the meetings the user has joined as a participant or member. All meetings are displayed in a grid view with the oldest meetings showing first. The user can select the number of items to view per page from the page number drop down. The user can view meeting details by clicking on ‘Meeting title’ Meeting title.

The grid view will also give the ability to do the following actions.

Preview meeting outputs (Meeting minutes and/or Meeting agenda).

Download Meeting Agenda.

Refer to the below figure for the meeting centre view.

The records can be sorted by clicking the Column Name. For Example; If the user clicks 'Date ' the records will be sorted on a date in oldest to latest or latest to oldest.

1.2 Search Meetings

The meetings can be filtered using the search functionality. The item can be searched on the following criterion:

  • Meeting Title 

  • Date From 

  • Date To

  • Venue 

  • Minute Taker

  • Agenda Template

The search criterion can be saved by ticking the ‘Save Save selection for next time’time.

2. Agenda Item

Search

This functionality is used to search any agenda items in the system. The agenda items will be listed in a grid view, same as ‘My agenda items’ in my workspace.

The records can be sorted by clicking the Column Name. For example; if the user clicks ' Item ' the records will be sorted on the item name in alphabetical order.

2.1 Search Agenda Item

The meetings can be filtered using the search functionality.  The item can be searched on the following criterion:

  • Meeting Title 

  • Item

  • Type (Agenda Template)

  • Item Status

  • Approval Status

  • Submitted

  • Waiting For 

  • Agenda Deadline

  • Report Creator 

  • Responsible Officer 

The search criterion can be saved by ticking the ‘Save Save selection for next time’time.

Click on the ‘Agenda Agenda Item Title’ Title which will be directed to the agenda details page.

2.2 Add Agenda
