Lessons Learned

1. Overview

The Lessons Learned object lets you record any areas that could be improved in the future projects. It also highlights the most positive things from the project.

  • The lessons learned object can be included in multiple phases within a workflow. However, within one phase, it can be added only once.

  • The object behaviour will be unique and incremental. Hence, data entered in previous phase will flow to forward phases. However, changes made in forward phases will not be reflected on previous phase.

  • ‘Lessons Learned’ object will have two tabs: ‘Lessons' and 'Reference Lessons’, based on the tab visibility configured in the object configuration area by your administrator.

2. Lessons Tab

This tab can be used to record any areas that could be improved in the future projects. It also highlights the most positive things from the project.

The lessons learned template configured within Project Settings will be displayed in a grid within this section. The grid columns will be the fields enabled in Project Settings > Lessons Learned > Visibility in Object.

In order to edit existing lessons, click on the adjacent Edit button.

  • Edit button will be visible only of you have 'Can Edit' permission to the respective Lessons Learned object.

Click on the Update button once you complete updating details.

In order to delete a lesson, click on the adjacent delete Icon.

  • Please note that the delete icon will be only visible if you have ‘Can Delete’ permission to the respective Lessons Learned object.

2.1 Adding a New Lesson

  • STEP 1: In order to add a new lesson, enter relevant details and click on the Add button at the footer. The new lesson will be added to the grid.

  • STEP 2: Additionally, you can also link existing lessons learned by clicking on the Select Existing Lessons Learned button on top of the grid.  A popup window will be displayed listing all the existing lessons in the system. The lessons will be first grouped by the ‘Project Type’ and then by the ‘Project’ which they are linked to. 

  • STEP 3: You can use the Filters to filter out the lessons of the project which you wish to link to. The Filters area can be accessed by clicking on the Filter button. 

Select the relevant lessons and then click on the Add button. 

Once linked, the data will be unique for the selected project.

2.2 Exporting Details

You can export information in each tab of the Lessons Learned object to formats such as PDF, Word, Excel etc. by following the steps below.

  • To generate an export of the object, click on Export button on the toolbar.  

  • Upon clicking the Export button, you will see a preview of information within the object on a new browser tab.

  • Click on export dropdown menu icon and select the preferred export format from the menu to download the file in the selected format.  

3. Reference Lessons Tab

The reference lessons section will be beneficial during the project planning phase as the project managers can consider recommendations proposed from previous lessons when planning the current project. 

  • Within this section, you can link previous lessons learned from the other projects as reference only.

  • The grid columns will be based on the fields enabled in Project Settings > Lessons Learned > Visibility in Object area.

  • The lessons linked to the project will be displayed in read only mode.

  • Lessons are first grouped by the ‘Project Type’. Then by the project which they are linked to.

3.1 Linking a Lesson to the Project

Click on the Link Existing Lessons Learned button placed above the grid. A popup window will appear listing all the lessons in the system.

Please note that Link Existing Lessons Learned button will be visible only if you have ‘Can Add/Can Edit’ permission to the respective Lessons Learned object.

Select the relevant lessons and click on the Add button.

In order to delete a lesson, click on the adjacent delete icon.

Delete icon will be only visible if you have ‘Can Delete’ permission to the respective Lessons Learned object.
