Security and User Roles

1. Overview

Specific responsibilities or security roles could be given to users in your organisation from the List Users section, which could be accessed via the hamburger menu on the banner as shown in the below figure.

  • An Administrator can view all assessments. 

  • An Org. Unit Manager can view an assessment as long as the Assessee is a direct-report. An Org. Unit Manager cannot view assessments of an Assessee attached to another unit (Business Unit/Directorate) even when the Reporting Officer of that assessment is within that unit..

  • General Users can only see their own assessment.

In order to understand the assessment viewing privileges, let us look at the security implementation for an example organisation.

2. Administrator level access

  • Has access to all system security settings.

    • Creating, editing and viewing users.

    • Access to the administrator management menu.

  • Has access to view all assessments.

    • As per the example above, the Administrator can view the assessments of the following: all directorates, all business units, all service profiles and all general users.

    • Has access to view organisational reports.

  • Analysis Services are enabled with the full view.

Note: Administrators cannot edit assessments belonging to other users, they can only modify their own assessments.

3. Org. Unit Manager (Directorate) level access

  • No access to system security settings.

  • Has access to view all assessments under his/her Directorate.- As per the example above, the Org. Unit Manager at Directorate - Projects can only view assessments under his/her Directorate.

  • Limited view of analysis services according to his/her Directorate.

4. Org. Unit Manager (Business Unit) level access

  • No access to system security settings.

  • Has access to view assessments only under his/her business unit.

    • As per the example above, the Org. Unit Manager at  Business Unit - Projects can only view assessments under his/her Business Unit.

  • Limited view of analysis services according to his/her Business Unit.

Thus, the Org. Unit Manager at Business Unit - Projects can view any assessment where the Assessee is within the same Business Unit (with the exception of the Director). The Reporting Officer can be from the same or another Directorate as illustrated below.

Note: Org. Unit Managers cannot view an assessment of an Assessee from another Unit even when the Reporting Officer is of that assessment is within the same Unit. E.g. the Org. Unit Manager at Directorate - Planning cannot view any assessments under the Directorate - Projects.
